Receptionist / Accounts Payable Administrator
About the Role
We are seeking a highly organized and proactive Receptionist / Accounts Payable Administrator to join our team. This is a varied role that combines front-of-house reception responsibilities with accounts payable, fleet administration, office coordination, and general administrative support.
The successful candidate will be a detail-oriented professional who enjoys working in a fast-paced environment and takes pride in providing excellent customer service while ensuring administrative and financial processes run smoothly.
Australian citizenship is required for this position.
Key Responsibilities
Reception & Administration
Manage front desk reception duties and provide professional customer service to visitors, clients, and staff.
Maintain and update administrative documentation, including telephone lists and internal forms.
Coordinate office maintenance and repairs for office appliances and equipment.
Manage staff amenity purchases, stationery supplies, and promotional merchandise.
Accounts Payable
Enter supplier invoices into Simpro and ensure correct coding of goods and services.
Process receipt data entry and maintain accurate financial records.
Export invoices into Xero and approve invoices within the system.
Reconcile supplier statements and investigate discrepancies.
Assist with maintaining accurate accounts payable records and supporting month-end processes.
Skills & Experience
Essential
Previous experience in reception, administration, accounts payable, or a similar role.
Strong data entry skills with excellent attention to detail.
Experience using accounting and business management software.
Strong organizational and time management skills.
Ability to manage multiple priorities and meet deadlines.
Excellent written and verbal communication skills.
Desirable
Experience using Simpro and Xero.
