Job Description

Our client is a privately-owned group of companies within the mechanical services sector based in Brisbane. Their dedicated team is committed to delivering high quality commercial and industrial projects.

They are currently seeking an Administration Assistant with general administrative experience to join their team and provide day-to-day support across office operations, helping to ensure smooth and efficient workflow. 

This role offers stability, ongoing training, and the opportunity to work within a supportive, collaborative environment.

About the Role

As an Administration Assistant, you will provide essential administrative support across the business while also assisting with reception duties. This role would suit a proactive and well-organised individual with prior office administration experience, who is confident working across multiple departments in a fast-paced environment.

Key Responsibilities: 

  • Provide administrative and general office support across the business
  • Liaise and communicate effectively with all departments and staff
  • Support project and site managers with day-to-day administration
  • Manage document control, filing, and data entry tasks
  • Handle reception duties including answering and directing calls and inquiries
  • Welcome and assist visitors and maintain front desk operations
  • Provide ad hoc support across departments as required (e.g. Service team)
  • Assist with basic accounts payable and receivable tasks when needed

What we’re looking for:

  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, etc.)
  • Knowledge of the construction industry, particularly mechanical service contractors is highly regarded
  • Self-motivated with a commitment to continuous improvement
  • Excellent communication skills (internal and external stakeholders)
  • Positive, enthusiastic, and professional attitude
  • Strong teamwork and collaboration skills, including coordination with trades and contractors
  • High attention to quality, accuracy, and best practice standards
  • Effective time management with ability to meet deadlines
  • Strong organisational skills with ability to prioritise and manage multiple tasks and projects simultaneously
