Tropical Waste Services is a locally owned and operated waste management company servicing businesses across Townsville and surrounding areas.

We are seeking an organised and motivated Administration & Scheduling Assistant to join our growing team. This varied role combines day-to-day administration responsibilities with scheduling support, making it ideal for someone who enjoys working in a fast-paced environment and taking ownership of their work.

Working closely with our Transport Scheduler and management team, you will assist with scheduling activities while also managing your own administrative responsibilities. You will play an important role in ensuring the smooth operation of our office and transport functions while delivering outstanding customer service.

About the Role

Your responsibilities will include:

  • Answering incoming phone calls and customer enquiries

  • Providing exceptional customer service to clients and suppliers

  • Assisting with the scheduling of trucks and jobs in accordance with customer requirements

  • Liaising with drivers, customers, and team members to ensure efficient service delivery

  • Monitoring and responding to emails throughout the day

  • Data entry and maintaining accurate records

  • Invoicing and assisting with Accounts Payable and Accounts Receivable

  • Managing customer information through our scheduling software and CRM systems

  • Maintaining customer and driver documentation

  • Filing and general office administration duties

  • Providing administrative support to management

  • Assisting with day-to-day office operations and business support activities

About You

To be successful in this role, you will have:

  • Excellent written and verbal communication skills

  • Strong customer service and interpersonal skills

  • High attention to detail and accuracy

  • Excellent organisational and time management skills

  • The ability to prioritise tasks and manage competing deadlines

  • A positive attitude and willingness to learn

  • The ability to work both independently and as part of a team

  • Confidence working in a fast-paced environment

  • Strong computer skills, including Microsoft Office applications

  • Previous administration experience preferred

  • Experience in transport, logistics, scheduling, waste management, or a similar industry is advantageous but not essential
