Position SummaryThe Administration Officer plays a critical role in supporting the daily operations of Archer Glass. This position is responsible for providing administrative, customer service, and office support functions to ensure the efficient operation of the business. The successful candidate will be highly organized, professional, and capable of managing multiple tasks in a fast-paced environment.
Key ResponsibilitiesManage incoming phone calls, emails, and customer enquiries.
Maintain accurate filing systems and company records.
Prepare and process quotations, invoices, purchase orders, and other documentation.
Assist with scheduling appointments, installations, and service calls.
Coordinate office supplies and equipment requirements.
Support management with administrative tasks and reporting.
Provide professional and friendly service to customers, suppliers, and contractors.
Follow up customer enquiries and assist with job progress updates.
Handle customer requests and direct enquiries to the appropriate team members.
Assist with accounts payable and accounts receivable processing.
Reconcile supplier invoices and purchase orders.
Coordinate communication between office staff, estimators, installers, and suppliers.
Maintain job tracking systems and update project information.
Assist in implementing and improving administrative processes and procedures.
Ensure compliance with company policies and workplace procedures.
Previous experience in an administration, office support, or customer service role.
Strong written and verbal communication skills.
Excellent organizational and time management abilities.
High level of attention to detail and accuracy.
Proficiency in Microsoft Office Suite (Word, Outlook).
Ability to work independently and as part of a team.
Experience in the construction, glazing, manufacturing, or trade services industry.
Knowledge of accounting software MYOB and SimPro.
Experience with scheduling and job management systems.
