About the Role

You will be the primary point of contact for patients and doctors. The role involves managing a high volume of phone calls, coordinating specialist appointments, and supporting dermatologists with clinical administration and correspondence.

You will act as the link between the clinician and the patient after their appointment.

The ability to multitask accurately and stay calm and empathetic is essential.

Key Responsibilities

·         Answer high volumes of incoming phone calls professionally and efficiently

·         Book, reschedule and manage specialist appointments

·         Contact patients to offer appointments and actively support their skin journey with us

·         Manage cancellations, waitlists and urgent requests appropriately

·         Confirm upcoming appointments/surgical lists and process pre-payments/deposits

·         Respond to patient email enquiries

·         Process referrals and patient registrations

·         Check, prepare and send dictated specialist letters

·         Correspond with referring doctors and patients

·         Liaise with dermatologists regarding patient queries and follow-ups

·         Maintain accurate records within the practice management system

·         General administrative duties

As the first point of contact on the phone, email or in person, you are the face of our clinic and an integral part of their experience with us. Your interaction, professionalism and support are are key part of their skin journey and our company success.

About You

You are organised, reliable and comfortable working in a structured environment with competing priorities. You are confident on the phone and able to use computer systems efficiently while speaking with patients.

You enjoy being busy, can follow processes, and understand the importance of accuracy in a medical setting.

Highly Regarded

·         Previous medical reception or specialist clinic experience

·         Experience handling referrals and private billing

·         Understanding of Medicare and specialist appointment workflows

·         Experience using practice management software
