Administration & Office Support

The Office Manager oversees the administrative and operational management of the dental clinic, including staff, resources, patient administration, practitioner coordination, financial records and billing. The role also manages recruitment and staff performance, liaises with healthcare and government organisations, ensures regulatory compliance, and supports efficient, quality and continuous improvement of dental services. <h3>Benefits</h3><ul><li>Competitive salary $80,000–$90,000 + superannuation</li><li>Full-time position with an established dental clinic</li><li>Professional development and training opportunities</li><li>Supportive working environment</li><li>Career development and progression opportunities</li><li>Exposure to dental and healthcare administration</li></ul> <h3>Task & responsibilities</h3><ul><li>Plan, coordinate and review clinic office services, establish priorities and maintain appropriate administrative service standards.</li><li>Coordinate daily administrative operations, including patient bookings, practitioner schedules, reception and workflow.</li><li>Allocate administrative staff, clinic rooms, equipment and other resources according to operational requirements.</li><li>Assign duties to administrative staff, supervise their work and monitor performance and service standards.</li><li>Coordinate recruitment, onboarding, training, payroll administration and performance management of administrative staff and practitioners.</li><li>Manage patient records, office accounts, billing, financial reconciliation and administrative reporting, including Medicare, DVA and private health insurance matters.</li><li>Liaise with dentists, specialists, healthcare professionals, government agencies and other stakeholders to coordinate clinic business and resolve operational issues.</li><li>Coordinate contractual and administrative matters with Metro South Hospital and Health Service and other healthcare organisations.</li><li>Ensure office, computer and clinic equipment, facilities and administrative supplies are properly maintained and available for daily operations.</li><li>Ensure clinic operations comply with work health and safety requirements, privacy obligations and relevant legislation, government policies and procedures.</li><li>Monitor administrative processes and implement improvements to enhance efficiency, service quality and compliance.</li><li>Support quality assurance and continuous improvement activities relating to the administration and delivery of dental services.</li></ul>&nbsp; <h3>Qualification & experience</h3><ul><li>Qualification in Business Administration, Health Administration, Management or a related field.</li><li>2–3 years’ relevant experience in office management or healthcare administration.</li><li>Experience in staff supervision, recruitment, payroll and financial administration.</li><li>Dental or healthcare practice experience is highly desirable.</li><li>Strong organisational, communication and problem-solving skills.</li><li>Vietnamese language skills are an advantage, as approximately 50% of our clients are Vietnamese-speaking.</li></ul>
