In this role, you will lead a dedicated administrative team and oversee daily operations to ensure seamless patient service and high-operational capability across our Campus Program Area teams. Additionally, you will provide critical executive support to key clinical leaders, including the Nursing and Medical Directors.

About the Team

The Integrated Child and Youth Mental Health Service (CYMHS) provides complex secondary and tertiary level health care. CYMHS offers specialised mental health services for families with children and young people (birth to 18 years) who experience severe and complex mental health problems, and where their needs cannot be met by other services.

About the Role

  • Coordinate, manage and lead workflow of administration staff reporting to this position; including preparation of rosters, leave management and backfill within operational and budget requirements.
  • Ensure that administration support duties in the 8b Administration Hub are completed efficiently and effectively within timeframes; interpret procedures and develop work instructions; initiate and implement administrative systems to provide optimal support services.
  • Manage the administration staff to ensure that the functions associated with referral management, revenue optimisation, waitlists, bookings, cancellations and rescheduling using the relevant information systems are completed proficiently.
  • Provide high level administration support to key operational roles including Nursing and Medical Directors including calendar management, performing meeting secretariat roles and preparation of correspondence and reports.
  • Use initiative and a collaborative approach to identify innovative solutions to administrative problems and potential improvements to deliver on the operational plan.
  • Build and maintain a high level of communication and negotiation with internal and external stakeholders to ensure 8b Administration Hub goals are achieved, and a high level of service is delivered.
  • Ensure follow-up action is taken in respect of matters requiring consideration; maintain confidential records pertaining to meetings and exercise discretion with confidential information pertaining to professional, client and financial issues.
  • Participate in Health Service accreditation process and quality improvement activities by supporting and initiating quality improvement activities.
  • Manage the recruitment and onboarding of administration staff and completion of mandatory training modules; whilst complying with and participating in the requirements of human resource management including employment equity, anti-discrimination, occupational health and safety and ethical behaviour and workplace health and safety legislation.
  • Co-Facilitate the Performance Coaching and Development process for administration staff; identifying and arranging relevant training as required.
  • Engage with the CYMHS Business Support and Administration Teams and provide senior administration leadership within CYMHS.
